These General, Technical and Participation Conditions apply to all categories of customers (exhibitors, organizers, tenants, visitors, general public) on the territory of the Romexpo Exhibition Center. The General, Technical and Participation Conditions supplement the specific participation conditions established by contract, insofar as they do not contradict other clauses agreed by the parties.
By event we mean any fair, exhibition, concert, congress, conference, conference, festival etc.
Romexpo Exhibition Center is located in Bucharest,
B-dul Marasti nr. 65 67, sector 1 and includes exhibition spaces presented on the website www.romexpo.ro. The Romexpo Exhibition Centre is managed by Romexpo S.A., a company with registered office in Bucharest, B-dul Marasti nr. 65-67, sector 1, code 011465, CUI 1555425, J40/14818/1991, hereinafter referred to as the Organizer.
By exhibition space we mean any pavilion, conference room, outdoor platform, parking lot.
I.1. ACCESS
Access to the Exhibition Center is realized only at the specially arranged points available for each event and only on the basis of valid tickets or badges, as appropriate.
Driving a vehicle in the exhibition center is allowed only with a special permit, a valid entry authorization or a valid parking permit. During an event, driving or parking a vehicle in the exhibition center is strictly prohibited. However, Romexpo S.A. may make exceptions and issue appropriate parking or entry permits. Romexpo S.A. is entitled to charge a fee for the issuance of parking or entry permits.
The parking or entry permit must be placed behind the windshield of the vehicle in question so that it is clearly visible. The rules regarding the use of parking or entry permits must be strictly observed. Parking or entry permits must be returned at any time at the request of the Romexpo S.A. staff in charge of traffic control or at the request of the security staff. Parking and/or entry permits are valid only for the vehicle for which they have been issued. Romexpo S.A. has the right to require a guarantee in exchange for entry to the exhibition center and to limit the maximum duration of stay. The guarantee paid is forfeited if the maximum stay is exceeded. This rule applies during periods of stand construction and dismantling as well as in cases when Romexpo S.A. has allowed access to the exhibition center during the period of each exhibition.
The Romanian Highway Code applies throughout the exhibition center and its parking lots. A maximum speed limit of 20 km/h applies in the exhibition area. Inside the pavilions, the circulation of vehicles is forbidden. This rule also applies to the rest of the exhibition center during the exhibition period.
Vehicles may only enter the pavilions for loading and unloading. Care must be taken not to damage existing power connections and other technical infrastructure components. The stipulated load-bearing capacity of the floors in the halls, as well as the height and width of the gates, must be observed. Engines must be stopped during loading and unloading. Parking vehicles in the halls is strictly prohibited. Romexpo S.A. reserves the right to refuse motorized access to the halls for reasons it deems justified. Maximum attention must be paid to pedestrians. No vehicular access is allowed to routes or green areas that have been cordoned off. Mobile homes and caravans may not be brought into the exhibition center for accommodation. Exceptions are those used solely for exhibition purposes.
Vehicles are not allowed to stop in the entire exhibition area except in areas designed accordingly. Romexpo S.A. reserves the right to remove, at the risk and expense of the responsible person, driver or owner, any vehicles, trailers, containers, skips or full/empty packaging left in areas where stopping is prohibited.
The measures implemented by Romexpo S.A. for traffic control, including the instructions issued by the staff in charge of traffic control, must be strictly observed, in particular in order to ensure a smooth traffic flow during the periods of stand set-up and dismantling as well as during the event itself.
Romexpo S.A. reserves the right to regulate in advance the access of exhibitors and/or the companies constructing their stands and other contractors to individual stands.
As far as fairs and exhibitions are concerned, it is advisable to use the entire period allowed for stand construction, as experience has shown that the exhibition center will be very crowded during the last two days of stand construction. Complaints cannot be lodged against Romexpo S.A. if delays are caused by exhibitors, their stand construction companies or other contractors due to overcrowding of the exhibition center or measures implemented by Romexpo S.A. to control traffic in the exhibition center and/or access to the stands.
PARKING
The Romexpo Exhibition Center has parking spaces for event participants.
The parking spaces within the Romexpo Exhibition Center are private property, with traffic on public roads where the traffic rules provided by the legislation in force on traffic on public roads apply, as well as the following rules:
- the parking of vehicles in the parking areas of the Romexpo Exhibition Center implies the acceptance by the driver of these General, Technical and Participation Conditions, as well as the respect of the traffic and parking rules.
- Romexpo S.A. shall not be liable for any immediate or subsequent, direct or indirect, direct or indirect consequence of failure to comply with these General, Technical and Participation Conditions.
- It is forbidden:
- the use of marked seats reserved for disabled persons by persons who are not disabled;
- parking vehicles outside marked parking spaces;
- parking of vehicles on access roads;
- making advertisements of any kind within the parking lot.
- The maximum period of time during which a vehicle can be parked in the parking lot is 48 (forty-seven) hours; after this period, the vehicle will be removed by Romexpo S.A. or by its representatives / its agents and transported to specially designated areas outside the Exhibition Center with all related costs to be borne by the driver / owner of the vehicle.
- The driver/owner of the car is obliged to respect the specific P.S.I. rules, being directly responsible for the damage caused.
- It is forbidden to leave animals, flammable or other dangerous substances in the vehicle.
- The driver/owner of the vehicle is obliged not to leave valuables in the vehicle. Romexpo S.A. is not responsible for any damage, injury or theft that may occur in the parking lot.
- The driver/owner of the car is obliged not to carry out maintenance or repair works, cosmetic works within the Exhibition Center Parking.
- In order to avoid nox emissions, the driver has the obligation not to leave the engine running while parked or stationary.
- The maximum speed limit for vehicles in the perimeter of the Parking is 5 km/h.
- Romexpo S.A. reserves the right to deny access to persons / drivers who do not comply with the provisions of these General, Technical and Participation Conditions.
- Drivers have the obligation to pay maximum attention to the signs installed in the perimeter of the Parking and Exhibition Center, as well as to all posted information and indications of the security agents.
- Romexpo S.A. is not responsible for accidents or any other incidents suffered by the users of the parking lot/drivers of vehicles as a result of carelessness, improper use (or any other causes) of the barriers or other equipment, installations or other such belonging to the parking lot of the Exhibition Center.
- Any damage caused to their own vehicles and other vehicles, as well as to the installations or equipment belonging to the Exhibition Center Parking by drivers or other users of the parking lot during their movement or parking on the premises will be fully borne by the guilty parties, excluding the liability / exemption from liability of Romexpo S.A.
I.3. ADVERTISING WITHIN THE EXHIBITION CENTER
The display and distribution of leaflets and promotional material is free of charge in the area rented by the exhibitor or organizer. This activity outside the rented space or by a third party can only be carried out for a fee by filling in the order form "Distribution of promotional materials", available on the websites of the fairs organized within the Exhibition Centre.
Advertising will be limited to the promotion of products and will not violate legal provisions, will not be of a political or ideological nature. Comparative advertising is not allowed. Romexpo S.A. has the right to remove inscriptions, advertisements and other forms of advertising from the Exhibition Center, without the customer's consent, if it considers that they are not in accordance with the Romanian legislation, with the conditions of participation or that they disturb other exhibitors.
Romexpo S.A. reserves the right to prohibit the display or distribution of advertising materials that could give rise to offense to other participants and will take measures that will lead to the confiscation, for the duration of the event, of existing stocks of materials.
Advertising in optical, mobile, acoustic media (maximum permissible sound level is 70Db) is allowed only if it does not disturb the neighboring participants and does not cover the sound in the pavilions (radio announcements, etc.). In case of violation of these provisions, Romexpo S.A. reserves the right to intervene and to request the broadcasting of the advertising message to be stopped.
I.4. SECURITY INSURANCE
Romexpo S.A. provides general security of the outdoor spaces outside the daily program, without being held responsible for the security of the products in the rented space. It is recommended to insure goods or personal insurance. Romexpo S.A. can provide this service which can be benefited by filling in the order form "Stand Security", available on the websites of the fairs organized within the Exhibition Centre.
In case any of the goods are stolen, the client is obliged to immediately notify the Police Office. The client is responsible for the security of the goods during the daily working hours.
I.5. CARE
Romexpo S.A. ensures the cleaning of common spaces within the Exhibition Center, without having the obligation to ensure the cleaning of the rented spaces. Romexpo S.A. can provide this service that can be benefited by filling in the order form "Stand cleaning", available on the websites of the fairs organized within the Exhibition Center.
I.6. GUARANTEE
Complaints concerning possible defects of the stand or exhibition area must be submitted to Romexpo S.A. in writing immediately after occupancy of the exhibition area, but no later than the last day of the stand set-up period, so that Romexpo S.A. can remedy the defects. Later complaints will not be considered.
I.7. PROGRAMME
During the period of the events, the spaces within the Exhibition Center will open at least one hour before the official opening time and will close one hour after the official closing time, according to the program of the events. Romexpo S.A. reserves the right to impose special requirements in this respect. Exhibitors and organizers who need, for exceptional reasons, to work on their stands outside the above-mentioned timetable must request the written consent of Romexpo S.A.
During the periods of arrangement and dismantling necessary for the holding of an event, the activity can take place in the Exhibition Center premises between 8.00 and 20.00 as long as no other time intervals have been specified for the event. For general safety reasons, the Exhibition Center premises are closed outside these hours. The extension of the mentioned opening hours is possible only in exceptional situations and requires the written consent of Romexpo S.A
HEALTH AND SAFETY. EMERGENCY SITUATIONS
It is forbidden to bring explosive substances into the Romexpo Exhibition Center. The same rule applies to ammunition.
Pyrotechnic shows must be authorized by Romexpo S.A. and coordinated with it. The necessary permits must be obtained from the relevant safety authorities. However, the granting of this exceptional approval does not represent a right of the participants.
In general, it is forbidden to use balloons, airships and other flying objects within the Romexpo Exhibition Center. Any exception to this rule must be approved by Romexpo S.A. In the event of approval, balloons and airships may be filled exclusively with non-flammable and non-toxic gases. The balloons and airships must remain within the perimeter previously established and must not exceed the permitted height of the stands and advertising hoardings.
The use of smoke machines inside the Romexpo Exhibition Center must be coordinated by the appropriate management of Romexpo S.A.
Customers shall comply with the fire prevention laws, the laws for the prevention of accidents at work and those relating to damages caused on the territory of the Romexpo Exhibition Center, in accordance with the provisions of the Romanian Civil Code. Smoking in the stands and pavilions is strictly forbidden, being possible only in the specially arranged outdoor areas.
The client has the following main obligations regarding Occupational Health and Safety issues:
- To appoint by decision the person responsible for occupational health and safety issues and to communicate the name to the employees designated by Romexpo S.A.
- To provide qualified and trained personnel, in accordance with the legislation in force, depending on the specifics and nature of the works to be executed.
- To inform its employees on the risks of accidents and occupational diseases specific to the work perimeter, as well as on the prevention and protection measures to be taken and respected, in order to avoid the occurrence of work accidents, fires or environmental pollution.
- To ensure all working conditions to avoid accidents and occupational diseases, to provide individual and collective means of protection and, depending on the risk factors identified, to ensure medical examination upon employment and periodical for its own staff.
- To verify daily, on the spot, by designated persons, the way in which the occupational health and safety measures, emergency situations and environmental protection are ensured, knowing that it is directly responsible for the occurrence of events of the nature of those covered by this contract.
- To carry out periodic training on occupational health and safety, PSI-SU and environmental protection of its own staff.
- Any event (work accident) involving the Client's personnel will be immediately communicated to the employees designated by Romexpo S.A.
- Accidents at work suffered by the Client's personnel, within the Romexpo Exhibition Center, due to their failure to ensure and comply with the rules of health and safety at work and PSI-SU, as well as the provisions of this contract, shall be recorded by the Client.
- Work accidents suffered by the Client's personnel in the installations and/or workplaces belonging to Romexpo S.A., as a result of entering them without work duties, shall be recorded by the Client.
- Accidents caused to the personnel of Romexpo S.A., due to the failure of technical-organizational and hygienic-sanitary measures by the Client's personnel are recorded and reported as work accident of the Client.
- Accidents caused to the Customer's personnel due to failure to comply with health and safety at work requirements by Romexpo S.A. employees will be recorded by Romexpo S.A..
- In case of any events (human or technical accidents, fires, explosions, etc) the parties have the obligation to notify the bodies authorized by law, such as: the Territorial Labor Inspectorate, Fire Brigade, Public Prosecutor's Office, Police, etc. and to take the necessary measures to avoid changing the state of affairs that resulted from the event, except in cases where maintaining it would generate other events or endanger the lives of workers or other persons.
- In the event of an incident, a joint first aid team will intervene to provide first aid and send the victim to the hospital for intervention.
- In case of a fire outbreak, the first intervention means will be promptly deployed, evacuation of persons, property, including first aid, if necessary;
- In case of situations not provided for in this contract, the registration of the accident will be determined by the Territorial Labor Inspectorate.
The client has the following main obligations regarding Emergency Situations:
- To know and respect the fire protection measures established by Romexpo S.A.
- To use dangerous substances, installations, machinery, machines, machines, apparatus and equipment, according to the technical instructions, as well as those given by Romexpo.
- To maintain and to use, for the purpose for which they have been realized, the fire-fighting equipment provided by Romexpo S.A.
- To respect the fire safety rules specific to the activities they organize or carry out.
- Not to carry out unauthorized modifications without the written consent of Romexpo S.A., of the initial designer of the construction, installation, equipment, device or means of transport used or of a technical expert certified according to the legislation in force.
- Not to carry out unauthorized manipulations or unauthorized modifications to fire protection systems and installations.
- To inform Romexpo S.A. of any technical failure or other situation that constitutes a fire hazard.
- To communicate, immediately upon discovery, to Romexpo S.A. any violation of the fire protection rules or any situation established by it as a fire hazard, as well as any malfunction reported to the fire protection systems and installations.
- To cooperate with the employees appointed by Romexpo S.A., as the case may be, respectively with the specialized technical staff, which has duties in the field of fire protection, in order to carry out fire protection measures.
- Act, in accordance with established workplace procedures, in the event of any imminent fire hazard.
- To provide the authorized persons with all the data and information of which it has knowledge, related to the occurrence of fires.
- Keep evacuation and intervention routes clear of any obstacles at all times.
- To issue open fire permits in accordance with the law.
- To respect the legislation on the storage of products and substances with fire / explosion risk.
- It is forbidden to perform welding and other open flame works without the authorization of Romexpo S.A..
- Packaging and waste will be disposed of immediately and collected at the collection points set up for this purpose.
- Vehicles will be parked in the spaces specially designated by Romexpo S.A.
- Any damage caused by fire is the sole responsibility of the person who caused it.
In order to comply with the labor, environmental and health and safety standards, the Client has the following obligations:
- To ensure for all the staff with whom it collaborates the general introductory training on safety and health at work, the on-the-job training on safety and health at work, labor protection and PSI, the specific periodic training on labor protection and PSI.
- The obligations and responsibilities regarding compliance with the rules and full implementation of labor protection measures, environmental protection and PSI, by the employees working in the activities covered by this contract are the exclusive responsibility of the Client. In case of material damage due to work accidents, fires, breakdowns caused by the Client's personnel or by the Client's collaborators, these shall be borne by the Client.
- In the event of accidents at work, with temporary incapacity, disability or death suffered at work or on the territory of Romexpo by the Client's staff or with whom the Client collaborates, the mentioned accidents will be declared and recorded by the Client, with the Client's obligation to inform Romexpo S.A. in advance. The Client is responsible for informing all the employees and collaborators, including the participants in the event, of this contractual clause and is responsible for their fulfillment.
- In emergency situations (e.g.: fire, floods, gas leaks), in order to intervene and limit damage, Romexpo S.A. staff assisted by the Customer's representatives and, where appropriate, by the ISU (fire brigade) and/or police representative, may enter the exhibition spaces, drawing up a report signed by the persons involved.
- In case of use of pyrotechnic materials in the Romexpo Exhibition Center, the Client will obtain all the authorizations according to the law no. 126/1995 regarding, as the case may be: their preparation, possession, transport, sale and use as well as obtaining all the permits from the Territorial Labor Inspectorate, the General Police Directorate of Bucharest, Bucharest City Hall, Bucharest Emergency Situations Inspectorate.
- To be liable under the Civil Code, for the damages caused to Romexpo S.A. by its own actions, its agents/partners, the participants of the event.
I.9. ENVIRONMENTAL PROTECTION
Participants must comply with all legal provisions regarding environmental protection and waste regime, including the disposal of waste generated during an event and the arrangement / dismantling of the spaces used during the event.
The storage of empty packaging of any kind (e.g. packaging and packaging materials) inside the halls (both inside and outside the stands), on the outside areas and on the loading platforms is prohibited. Items of this type must be removed immediately after emptying.
I.10. INTERNAL AUTHORITY
Romexpo S.A. has full authority over the exhibition center for the duration of the events, from the beginning of the construction period until the end of the decommissioning period. Romexpo S.A. reserves the right to issue instructions. Romexpo S.A. reserves the right to take photographs and video material related to stands and exhibits, and to use them for trade fair promotion purposes and in the press.
I.11. INTELLECTUAL PROPERTY
The participants who wish to broadcast/use music in the Romexpo Exhibition Center are directly responsible for the full compliance with the laws and regulations in force in Romania and internationally, especially with regard to copyright law and other regulations in this field. They are also obliged to obtain and pay all fees/remuneration due to the collective management bodies of copyright (UCMR-ADA, CREDIDAM, U.P.F.R) for obtaining licenses for the authorization of public communication of the musical repertoire for environmental and/or lucrative purposes, in accordance with the provisions of Law no. 8/1996 on copyright and related rights, with all subsequent additions and amendments, and to pay all fees and taxes due to the state, bearing full responsibility for it.
I.12. PROTECTION OF PERSONAL DATA
This section establishes the personal data processing conditions applicable to all clients (exhibitors, co-exhibitors, organizers, co-organizers, tenants, suppliers, etc.), visitors, their representatives and the general public who visit, regardless of the capacity in which they do so, the Romexpo Exhibition Centre.
ROMEXPO S.A. recognizes the importance of your personal data and is committed to protecting their confidentiality and security. That is why it is important for us to provide you in an integrated manner with the information related to the processing of your personal data within these General, Technical and Participation Conditions.
ROMEXPO S.A. processes personal data under technical and organizational conditions of adequate security, the processing being carried out in compliance with the legislation in force.
ROMEXPO S.A. processes personal data received directly from the data subjects (including through ROMEXPO S.A. websites) or indirectly, in the course of commercial/contractual relations and / or participation, regardless of the quality in which they do so, at fairs / events organized within the Romexpo Exhibition Center.
Personal data are collected either only with the consent/acceptance of the data subjects, if they are provided knowingly, willingly, on their own initiative, or at the request of ROMEXPO S.A., for example through contractual documents, through the contract adhesion form, through one of the online forms used, namely the online contact form, the online services order form, etc., through subscription to newsletters, participation in raffles and contests, by filling in the data in the account registration form on a ROMEXPO S.A. website, etc.
The use of ROMEXPO S.A. websites is subject to these provisions and the Terms and Conditions mentioned on these websites.
If you do not agree with any of the terms of these personal data protection provisions, do not use any of the ROMEXPO S.A. websites or do not provide us with your personal data. Certain services may be conditional on the provision of your personal data.
In order to fulfill the object of activity and to carry out the current activity, including the contractual activity, as well as in order to apply the legal provisions, including those on the protection of individuals with regard to the processing of personal data and the free movement of such data (domestic legislation and EU-community law), ROMEXPO S.A. is obliged to manage in secure conditions and only for the specified purpose, the personal data provided.
ROMEXPO S.A. will process personal data only to the extent that this is necessary to fulfill the purpose mentioned below, in compliance with the legal measures of data security and confidentiality.
Processing of personal data means any operation or set of operations which is performed upon personal data, whether or not by automatic means, such as: collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination, or otherwise making available, alignment or combination, restriction, blocking, erasure, destruction, storage.
For accessing ROMEXPO S.A. websites, it is not necessary to provide any personal data.
In the context of the current activity of ROMEXPO S.A., including the commercial or contractual activity, participation in fairs, exhibitions and/or other specialized events organized within the ROMEXPO S.A. Exhibition Centre, involving the purchase of ROMEXPO SA services offered on the website, the purchase of tickets online or subscription to the ROMEXPO SA newsletter, as well as in the context of fulfilling legal obligations, ROMEXPO S.A. may request certain personal data.
For the above-mentioned purposes, Romexpo will process, among others, the following personal data: name and surname, signature, driver's license or registration certificate data, in some cases, telephone or fax, home or residence address, e-mail, profession, job, function, bank data, habits or preferences or behavior, image, voice, data processed by video surveillance systems, IP address, credit card data, card number, card expiration date, CVV2 or CVC2 code, IBAN code, CNP personal number code, series and number of identity card or passport
The persons (data subjects) whose data may be processed by Romexpo S.A., exclusively for the purposes mentioned below are:
- Individual customers of ROMEXPO S.A. (current, former or potential), visitors, general public, their representatives or their legal or conventional proxies;
- Representatives or representatives or business contacts (current, former or potential business partners, exhibitors, co-exhibitors, organizers, co-organizers, suppliers, service providers, tenants, etc.- current, former or potential) and public authorities.
Data subjects are required to provide complete, up-to-date and correct data.
In order to provide you with certain services specific to the activity of Romexpo SA (e.g., but not limited to, registration for Fair X and space rental), Romexpo S.A. will request the personal data necessary to provide those services, and refusal to provide such data may make it impossible to provide the services of Romexpo.
When you purchase a service provided by Romexpo S.A., as well as when you participate in fairs or events or exhibition events organized by Romexpo, we will collect personal data in connection with the provision of those services. Also, as a visitor to the Romexpo Exhibition Center, we will collect personal data (image, data processed by video surveillance systems, etc.) in order to fulfill legal obligations and carry out our current activity (legitimate interest).
By reading these provisions and or signing any document through which personal data are provided to ROMEXPO S.A., or by providing personal data in order to access ROMEXPO S.A. services or to purchase tickets for events organized within the Romexpo Exhibition Center, the data subjects are informed and or expressly express their consent (give their consent) to the processing of personal data in accordance with the legal provisions on the protection of individuals with regard to the processing of personal data and the free movement of such data (domestic legislation and EU-community law).
If the processing of data is no longer necessary for the provision of a service, for the fulfillment of a legal obligation, nor is it justified by a legitimate interest of ROMEXPO S.A., data subjects may refuse such processing or withdraw their consent given previously, the refusal to be effective for the future. For example, data subjects may withdraw their consent to the processing of data for direct marketing purposes at any time and without having to state a reason. Following the resolution of the request for withdrawal of consent, the data subject will no longer receive commercial information about events or fairs or services offered by Romexpo S.A.
The purpose of collecting personal data is:
- Organization of fairs, exhibitions, trade fairs and other specialized events;
- The commercial or contractual activity of ROMEXPO S.A.;
- Invoicing and collecting the value of services offered by ROMEXPO S.A.;
- Marketing, promotion, advertising, publicity, publicity, contests, advertising lotteries, including the transmission of general or personalized commercial offers; development and improvement of services;
- Operational management;
- Customer relationship management; commercial communication with customers/suppliers through any means of communication;
- Fulfillment of applicable legal obligations;
- Communication with public or public interest bodies or authorities or institutions;
- Audit and control or supervisory activities;
- Archiving, statistical purposes;
- Debt collection or Overdue debt recovery;
- Settlement of disputes and litigation, enforcement of judgments, arbitration, court orders, etc.
Romexpo S.A. will consider all information collected from you as confidential and will not share it with third parties (except for the organizers or co-organizers of events organized by or within the Romexpo Exhibition Centre, and or business partners, as this situation is described below) without your express prior consent.
The recipients of the data can be the (data subjects) who provided the personal data, as follows:
- Individual customers of ROMEXPO S.A. (current, former or potential), visitors, general public, representatives or their legal or conventional proxies (for the purpose of commercial or contractual relations);
- Exhibitors, co-exhibitors, organizers, co-organizers, tenants, suppliers, service providers and other legal entities-business or contractual partners of ROMEXPO S.A., public authorities or institutions;
Recipients (other than data subjects) of the data may be:
- Central and local public authorities, judicial authorities, police, public prosecutor's office (within the limits of legal provisions and/or following specific requests), banking companies, bailiffs, insurance and reinsurance companies, market research organizations (for statistical purposes), etc.
Processing personal data for promotional (marketing) purposes
Personal data provided by the data subjects (such as: name and surname, e-mail address, fax number, mobile or landline telephone number) may be processed by ROMEXPO S.A. in compliance with their rights, in particular the right to information and opposition, for the following purposes: marketing (including direct marketing), contests, advertising sweepstakes, commercial communications for ROMEXPO S.A. services, including those developed together with a ROMEXPO S.A. partner, by any means of communication, including electronic communication services. Personal data provided by the data subjects may be used for promotional (marketing) purposes and for the products or services of other ROMEXPO S.A. partners, while respecting the rights of the data subjects.
In case ROMEXPO S.A. intends to use your data for direct marketing purposes, (after the data subjects have opted in) the data subjects will be informed in advance. Data subjects may exercise their right to prevent such processing by checking the appropriate boxes in the forms/documents used for the collection of personal data.
Whatever the situation, if you would like your personal data to cease to be processed by Romexpo, you can expressly request us to cease any data processing on our part. In addition, when you wish to stop receiving newsletters or information material from Romexpo, you can unsubscribe using the "Unsubscribe" or "Unsubscribe" button.
Processing of personal data with a general identification function
Personal data with a general identification function (personal identification number - CNP, identity card/passport number, etc.) will be processed, exclusively in situations where it is necessary to establish the identity of the data subjects and the processing is expressly provided for by a legal provision.
Processing of personal data by video-surveillance systems
ROMEXPO S.A., by means of video surveillance systems, processes personal data, namely images and other information allowing the identification of data subjects.
Images relating to identified or identifiable persons processed by means of video surveillance constitute personal data:
- even if they are not associated with the person's identification data, or
- even if they do not contain the image of the person filmed, but other information likely to lead to his/her identification (e.g. vehicle registration number)
The purpose of processing personal data consists in: monitoring/security of persons, private spaces and/or goods, preventing and combating crimes, fulfilling legal obligations and realizing legitimate interests.
The registered information is intended for use by ROMEXPO S.A. and may be communicated only to the following recipients: the data subject, the data subject's legal representatives/empowered persons, authorized representatives of ROMEXPO S.A., criminal prosecution/ investigation bodies, courts of law, in accordance with the provisions of national and EU legislation applicable to the activity carried out by ROMEXPO S.A.
The storage period of data obtained through the video surveillance system is 30 days, except in situations expressly regulated by law or in duly justified cases. At the expiration of this period the recordings shall be destroyed or erased.
In relation to Romexpo S.A., the data subjects benefit, according to the applicable legal provisions, from the following rights: the right of access, the right to rectification, the right to erasure, the right to restriction of processing, the right to data portability, the right to opposition and the automated individual process.
Duration of personal data processing
ROMEXPO S.A. will process the personal data for the entire period of ROMEXPO's activities, until the data subject or his/her legal representative expresses the right to object/ delete the data (except in the situation where ROMEXPO S.A. processes the data on the basis of a legal obligation or legitimate interest). After the completion of the personal data processing operations, for the purpose for which they were collected, if the data subject or his/her legal representative does not express the right to object/delete, according to the law, these data will be archived by ROMEXPO S.A. for the period of time provided for in ROMEXPO S.A. internal procedures and/or will be destroyed.
In order to avoid misuse of personal data and possible misuse, we use security methods and technologies, together with appropriate policies and procedures, to protect the personal data collected.
The complete security of data transmitted over the Internet can never be guaranteed. While ROMEXPO S.A. makes every effort to protect personal data, the security of data transmitted to ROMEXPO S.A. websites cannot be absolutely guaranteed. Any transmission of data is done at the risk of the data subjects. Once personal data is received, ROMEXPO S.A. employs strict procedures and security measures against unauthorized, unlawful use, destruction, accidental loss or disclosure of personal data.
No information security program is infallible.
In case of payments made by card (example: online ticket purchase), the commercialization is carried out through online payment solutions offered by third parties authorized in relation with ROMEXPO S.A. In order to eliminate the risk that personal data may come into the possession and be misused/unlawfully used by unauthorized persons, the third parties authorized in relation with ROMEXPO S.A. guarantee the legality and security of personal data (card number, expiration date, etc.) and of the information systems used.
Data transfers outside the EU and the European Economic Area may only be made under the conditions provided for by specific national and EU legislation on the protection of individuals with regard to the processing of personal data and on the free movement of such data.
By reading this document, the Data Subjects have been informed of their rights under the applicable legal provisions, namely: the right of access, the right to rectification, the right to erasure, the right to restriction of processing, the right to data portability, the right to object and the automated individual process. Also, when the processing is carried out on consent, data subjects have the right to withdraw their consent at any time in writing, addressed to ROMEXPO S.A., under the conditions of the applicable legislation, without affecting the lawfulness of the processing carried out on the basis of consent before its withdrawal.
Data subjects also have the right to object at any time, free of charge and without any justification, to the processing of personal data for direct marketing purposes, using, where appropriate, the unsubscribe function included in the marketing materials.
For the other purposes, data subjects have the right to object, at any time, free of charge, to the processing of personal data they provide to ROMEXPO S.A., specifying the data and the purpose for which they are to be processed, only for legitimate and legitimate reasons related to their particular situation, except in cases where ROMEXPO S.A. proves that it has legitimate and compelling reasons justifying the processing and overriding the interests, rights and freedoms of the data subject or that the purpose is the establishment, exercise or defense of a right in court. In case of unjustified objection, ROMEXPO S.A. is entitled to further process the data concerned.
By reading this document, the data subjects have acknowledged and understand that the personal data provided to ROMEXPO S.A. constitute determining elements for accessing the services offered by ROMEXPO S.A. and/or the performance of commercial/contractual activity.
If the data subjects, directly or through a representative, exercise their rights mentioned above in a manifestly unfounded, unjustified or excessive manner, especially because of their repetitive nature, ROMEXPO S.A. may:
- charge a reasonable fee taking into account the administrative costs of providing the information or communication or of taking the action requested;
- or refuse to grant the request.
Also, in case the data subjects, directly or through a representative, exercise their right of objection in a manifestly unfounded, unjustified or excessive manner, in particular due to their repetitive nature, ROMEXPO S.A. is entitled to consider the Contract concluded with the Client ROMEXPO S.A. as terminated by right, without any other formality or intervention of the courts, except for a prior notice.
In order to exercise these rights, data subjects may contact the Personal Data Specialist of ROMEXPO S.A. with a written, dated and signed request to the e-mail address: data.protection@romexpo.ro or to the following address: ROMEXPO S.A., Bucuresti, Bd. Marasti nr. 65-67, Sect. 1, postal code 011465, CP 32-3. A legible copy of the identity document of the signatory shall be attached to the application.
Data subjects are also recognized the right to lodge a complaint to a supervisory authority and to lodge a judicial remedy.
II.1. TIME INTERVAL
II.1.1. Program for the construction and dismantling of stands
During the general periods of stand construction and dismantling, the activity may take place in the pavilions and outdoor exhibition spaces between 8.00 a.m. and 8.00 p.m. unless other time periods have been specified for the fair.
For general safety reasons, pavilions and exhibition spaces are closed outside these hours. The extension of these opening hours is possible only in exceptional situations and requires the written consent of Romexpo S.A.
II.1.2. Duration of the event
During the exhibition period, pavilions open one hour before the official opening time and close one hour after the official closing time. ROMEXPO reserves the right to impose special requirements in this respect.
Exhibitors who need to work on their stands outside these hours for exceptional reasons must request written permission from Romexpo S.A.
- TRAFFIC WITHIN THE EXHIBITION CENTER, EMERGENCY ROUTES, SAFETY EQUIPMENT
2.1. Road traffic regulations
Vehicles may only enter the pavilions for loading and unloading. Care must be taken not to damage existing power connections and other technical infrastructure components. The stipulated load-bearing capacity of the floors in the halls, as well as the height and width of the gates, must be observed. Engines must be stopped during loading and unloading. Parking vehicles in the halls is strictly prohibited. Romexpo S.A. reserves the right to refuse motorized access to the halls for reasons it deems justified. Maximum attention must be paid to pedestrians. No vehicular access is allowed to routes or green areas that have been cordoned off. Mobile homes and caravans for accommodation may not be brought into the exhibition center, except those used solely for exhibition purposes.
Vehicles are not allowed to stop in the entire exhibition area except in areas designed accordingly. Romexpo S.A. reserves the right to remove, at the risk and expense of the responsible person, driver or owner, any vehicles, trailers, containers, skips or full/empty packaging left in areas where stopping is prohibited.
The measures implemented by Romexpo S.A. for traffic control, including the instructions issued by the staff in charge of traffic control, must be strictly observed, in particular in order to ensure a smooth traffic flow during the periods of stand set-up and dismantling as well as during the event itself.
Romexpo S.A. reserves the right to regulate in advance the access of exhibitors and/or the companies constructing their stands and other contractors to individual stands.
As far as fairs and exhibitions are concerned, it is advisable to use the entire period allowed for stand construction, as experience has shown that the exhibition center will be very crowded during the last two days of stand construction. Complaints cannot be lodged against Romexpo S.A. if delays are caused by exhibitors, their stand construction companies or other contractors due to overcrowding of the exhibition center or measures implemented by Romexpo S.A. to control traffic in the exhibition center and/or access to the stands.
II.2.2. Emergency routes
Fire intervention zones, fire hydrants
At no time may access to fire-fighting areas, emergency evacuation routes and appropriately designed safety areas be restricted. Access may not be restricted by parked vehicles, stored exhibits, building or packaging materials, etc. blocking the road, particularly during stand construction and dismantling periods.
Vehicles and objects parked or blocking fire intervention areas, emergency evacuation routes or safety zones may be removed at the expense of the person responsible.
Hydrants in pavilions and outdoor exhibition areas must not be obstructed and must be identifiable and accessible.
2.3. Emergency exits, escape hatches, corridors in pavilions
All pavilion exits and corridors designed as such in the pavilion plans must be unobstructed along their entire width. They serve as escape routes in emergency situations and therefore may never be obstructed by objects left in the way or protruding. Doors in the emergency exit route should open easily from the inside and across their full width. Exit doors, escape hatches and any signs indicating their position may not be obstructed, covered by construction, blocked, covered or unidentifiable. Romexpo information booths will be located as requested by the heads of service of the Commercial Department.
It is forbidden to obstruct corridors designed as such or to cover them with buildings.
2.4. Safety equipment
Sprinkler systems, fire alarms, fire extinguishing equipment, smoke detectors, locking devices for entrances to halls and other safety devices, signs indicating their position and green emergency exit signs must be accessible and visible at all times; they may not be obstructed or blocked.
2.5. Stand numbering
All stands have numbers given by the organizer and these can only be removed with prior agreement of the organizer.
2.6. Security
Romexpo S.A. and/or the security company hired by it to supervise the exhibition center is/are responsible for security at the entrances and in the halls. Romexpo S.A. does not give any guarantees regarding the security and continuous monitoring of the exhibition center. Romexpo S.A. is authorized to implement any measures it deems necessary for security and monitoring purposes.
The security of stands, exhibits and other objects on stands is not the responsibility of Romexpo S.A.. Exhibitors are responsible for the security of their own stands and should organize themselves as they see fit. However, only security agents from the company approved by Romexpo S.A. may be employed to secure the exhibition center.
Exhibitors' attention is drawn in particular to the fact that stand exhibits and other stand items are exposed to the risk of theft, especially during the stand construction and dismantling periods. Romexpo S.A. cannot be held responsible for the disappearance of exhibitors' valuables during the construction and dismantling periods.
2.7. Evacuation
Romexpo S.A. has the right to order the closure and evacuation of halls, buildings, pavilions and/or outdoor exhibition areas for safety reasons and to comply with the rules.
- DATA AND TECHNICAL CHARACTERISTICS OF THE PAVILIONS AND OUTDOOR EXHIBITION SPACE
3.1. Pavilion data
The general maximum height allowed for the construction of stands is, with some exceptions, 5 m for halls A and C1-C6, and 7 m for halls B1 and B2.
All pavilions are equipped with internal hydrants and fire detection equipment.
The maximum permissible load bearing capacity of the floor on level 0 (ground floor) is, with some exceptions, 3500 kg/sq.m in pavilions A and C1-C6 and 5000 kg/sq.m in pavilions B1 and B2.
The maximum permissible load-bearing capacity of the floor on the floors of pavilions is, with some exceptions, 300 kg/sq.m.
Normal lighting, current type, voltage
Normal lighting in the pavilions is provided by ROMEXPO. Each pavilion is naturally and/or artificially lighted.
Voltage levels available in the exhibition center halls and platforms:
230 volts (±10%)/50 Hz single-phase
400 volts (±10%)/50 Hz three-phase
Communication equipment
Inside the stand, telephone connections, fax connections, data connections and wifi internet access points are available for a fee.
Sprrinkler systems
Pavilions A, C2 and B1, B2, B3 are equipped with automatic fire extinguishing systems.
Heating, ventilation
Romexpo S.A. ensures the general heating and ventilation of the pavilions, except during the periods of fitting out and dismantling.
All pavilions (except pavilion A and D1- D2) have air conditioning.
Disabled
Any power failures (e.g. electricity, water, compressed air, heating, ventilation, communications, etc.) must be reported immediately to the Romexpo S.A. Help Desk (Dispatcher).
Romexpo S.A. shall not be liable for any damages arising as a result of any failure due to power supply fluctuations or force majeure or if the power supply is interrupted on the instructions of the Fire Service or the service providers concerned (electricity, water, energy).
3.2. Outdoor exhibition space
Allowed bearing capacity: 500 kg/sq.m.
Electricity connections and water/waste water connections are available inside the externally built stand.
- GENERAL RULES ON STAND CONSTRUCTION
4.1. Safety rules for stand construction
The exhibition stands that host equipment and exhibits, as well as advertising billboards, must be built in compliance with safety measures, so as not to present a danger to public safety and public order, but especially to the life and health of people.
Each exhibitor is responsible for the structural safety of their stand and may be asked to provide evidence of this.
Romexpo S.A. reserves the right to inspect the structure of the stands, exhibits, billboards, etc. or to hire an independent expert to verify their stability and traffic safety, even if the items in question have been previously approved.
The structure of stands located in the outdoor exhibition area must be designed to withstand the loads of wind pressure or, where appropriate, snow pressure.
Up to four loads limited to 500 kg each (winter scenario) or 800 kg each (summer scenario) in the case of the purlins and up to six loads limited to 800 kg each (winter scenario) or 1200 kg each (summer scenario) in the case of the lower sole of the farms may be applied in halls B1 and B2. Some exceptions may occur. It is forbidden to secure the structure of the stands by ceiling anchorage in halls A, C1-C6.
Machinery and equipment that fall under ISCIR can be used only upon request and agreement of Romexpo S.A.
The machinery and equipment falling under ISCIR must be authorized by ISCIR, within the due date and used only by ISCIR authorized personnel. The accidents and damages generated by the non-conforming use of ISCIR equipment shall be borne by the guilty party.
4.2. Stand construction approval
Any type of stands realized by other constructors outside Romexpo S.A. - both in the indoor and outdoor exhibition areas - must be approved by Romexpo.
Stand structures requiring inspection and approval
All organizers, exhibitors, tenants, service partners and other service providers are obliged to check whether the temporary structures they intend to build inside the halls or in the outdoor exhibition area require approval.
The scale drawings of one or two-storey stands must be submitted for approval by Romexpo S.A. They must be submitted in duplicate (site plan and sketches of the height dimensions at a scale of at least 1:100) by the deadline specified in the order forms for exhibition services. In case of approval, one of the copies is returned to the exhibitor/stand builder with the approval of Romexpo S.A.
Costs related to the project approval process are borne by the exhibitor.
Vehicles and containers
The use of vehicles and containers as exhibits inside the pavilions requires approval.
Dismantling of inappropriate stand structures
At the request of Romexpo S.A., stand structures that have not been approved or do not comply with the technical guidelines or the legal regime must be modified accordingly or dismantled.
If this is not carried out within the set deadline, Romexpo S.A. has the right to carry out these modifications or, as the case may be, to remove the stand structures, at the exhibitor's expense.
Extent of liability
The exhibitor or the constructor appointed by the exhibitor for the realization of the stand is liable for any damage caused by failure to comply with the above rules.
In addition, the exhibitor or the builder appointed by him undertakes to hold Romexpo S.A. harmless from any claims made by third parties in case of breach of the stand construction rules expressed above.
4.3. Building heights
The standard height of stands and billboards is 2.50 m.
The maximum height of the constructions varies according to the event and is specified in the special conditions of participation. The maximum height set by Romexpo S.A. for the stand structure can be exceeded only with the written consent of Romexpo S.A..
This limitation does not normally apply to exhibits.
4.4. Fire prevention
4.4.1. Fire prevention and extinguishing standards
Stand construction and decorative materials
The use of highly flammable materials and materials that drip, melt or emit toxic gases when burning is prohibited. The use of plastics that produce a lot of soot on combustion (such as polystyrene, rigid polyurethane foam, expanded polystyrene, etc.) is also not permitted. When setting up, exhibitors must present the fireproofing certificates for the materials in question. Decorative materials must be at least fire-resistant. Romexpo S.A. allows the subsequent fireproofing of decorative materials only after obtaining the approval of the fire brigade, if a suitable and approved fireproofing agent is used and the appropriate processing instructions are followed.
Decorative materials with standard fire resistance may be used in certain areas if their location has sufficient fire protection. A test certificate confirming the fire class of the materials used must be presented. Suspended decorations must be at least 2.50 m above the floor.
In certain cases, special conditions may be imposed for safety reasons for structural load-bearing components (e.g. non-flammability). The joints of the elements covering the stand floor must be watertight.
The use of cable clamps to anchor tension-bearing parts of the structure is prohibited.
Only freshly cut trees and plants (with leaves or needles green and full of sap) may be used for decorative purposes. If, during the event, trees and plants dry out and become easily flammable, they must be removed. Trees should not have branches up to about 50 cm above the ground. Lawns should be kept moist at all times (as there is a danger of ignition from cigarettes, matches, etc.).
In general bamboo, cane, hay, straw, decorative bark and similar materials do not fulfill the above conditions and are usually prohibited. Any exceptions to this rule require the prior approval of the appropriate Romexpo S.A. division.
As a general rule, waste should be removed and disposed of immediately or collected in appropriate containers and disposed of properly.
Motor vehicle exhibits
As a general rule, driving and parking motor vehicles inside the pavilions is prohibited. Any exception to this rule must be approved by the fire service, but the granting of this exceptional approval is not a right of exhibitors. Vehicles exhibited inside the halls must not have more fuel than is necessary to enter and exit the hall. The fuel tank must be locked. It is forbidden to start internal combustion engines for demonstration purposes in the halls or on the exhibitor's stand. In the case of demonstrations in the outdoor exhibition area, engines must be equipped with mufflers. The storage of fuel inside the stand is prohibited.
Motorized or mobile exhibition stands (display trucks, buses, trailers, etc.) must be equipped with a sprinkler system if they cover an individual uninterrupted area of more than 30 square meters. Areas with cavities are considered as individual uninterrupted areas if the cavities are not large enough to prevent the spread of fire.
In the case of motorized or mobile exhibition stands (display trucks, buses, semi-trailers or trailers), a sprinkler system must be installed for each individual covered area measuring more than 30 square meters.
Explosives and ammunition
The display of explosive substances at fairs and exhibitions is prohibited. The same rule applies to ammunition.
Fireworks
Pyrotechnic displays must be approved and coordinated by Romexpo S.A. The necessary permits are obtained from the relevant safety authorities. However, the granting of this exceptional approval does not represent a right of the exhibitors.
Compressed gases, liquefied gases, fuels, flammable liquids
The storage and use of compressed / liquefied gases, fuels, flammable liquids within the Romexpo Exhibition Center are prohibited, unless written consent has been requested and obtained from Romexpo S.A.
Using balloons, airships and other flying objects
In general, the use of balloons, airships and other flying objects within the pavilions and the outdoor exhibition area is prohibited. Any exception to this rule must be approved by Romexpo S.A. In the case of approval, balloons and airships may be filled exclusively with non-flammable and non-toxic gases. The balloons and airships must remain within the perimeter of the stand and must not exceed the permitted height of the stands and advertising hoardings.
Smoke machines
The use of smoke machines must be coordinated by the appropriate management of Romexpo S.A.
Ashtrays and ash containers
Smoking is prohibited on the stands, with sufficient specially designated places available with ashtrays and ash receptacles made of non-flammable materials. They shall be emptied periodically into non-flammable, airtight containers.
Containers for non-recyclable, recyclable and residual waste
The use of containers for non-recyclable, recyclable and residual waste made of flammable materials is prohibited inside the stands. The non-recyclable, recyclable and residual waste generated by the stands must be disposed of regularly, at the latest in the evening of each day of the event, or must be collected in the garbage bags provided for this purpose and placed at the side of the aisle.
Romexpo S.A., through an operator, ensures the collection and disposal of waste produced by exhibitors during the actual running of the event at the stands, except:
- waste/residual materials of any kind resulting from stand set-up/dismantling work, such as partition walls, false ceilings, plasterboard, flooring, large packing boxes, pallets, etc.
- carpet, waste resulting from processes and demonstrations with machinery, equipment and machines
- special regime waste, which can be classified as hazardous and non-hazardous (e.g. WEEE, used tires, packaging, used oils, medical and phytosanitary waste, asbestos PCB materials and equipment, animal waste, waste in public food, etc.)
Waste made of easily flammable materials such as wood chips, wood shavings, sawdust and the like should be kept in airtight containers for disposal daily or several times a day in the case of large quantities of waste.
The bags distributed for the collection of non-recyclable, recyclable and residual waste are collected by the collection company in the evening of each day of the event.
Spray guns, nitrocellulose paints, detergents, solvents
During the duration of the exhibition, namely the period of arrangement/construction, dismantling and the actual period of the event, the use of spray guns, as well as of substances and paints containing solvents is prohibited.
Parts polishing and open flame working
For these works must be requested in writing and obtained the opinion of the person in charge of SSM at Romexpo S.A. who is responsible for all welding, cutting, gluing, melting and grinding. During the work, the surrounding area must be protected from sparks. All joints and cracks shall be insulated with suitable non-flammable materials. Stands must be equipped with at least one suitable fire extinguisher approved for Class C fires. As a general rule, open flame work and activities presenting a fire risk are prohibited during the event. Any exception to this rule must be approved by the fire service.
Empty packaging
The storage of empty packaging of any kind (e.g. packaging and packaging materials) inside the halls (both inside and outside the stands) and on the loading platforms is prohibited during the stand set-up/erection, dismantling and during the actual event. Such items must be removed and disposed of immediately.
As far as possible, on the basis of an order from the exhibitor and at a charge, they can be stored in the spaces provided by Romexpo S.A.
If an exhibitor fails to remove improperly stored items despite requests, Romexpo S.A. reserves the right to remove such items at the exhibitor's risk and expense.
4.4.2. Glass and acrylic sheets
Only safety glazing suitable for specific purposes is permitted. In the case of structures made of glass, the edges of the glass panes must be machined or protected to eliminate any risk of injury. Components made entirely of glass shall be appropriately marked at eye level.
4.5. Exits, exits and doors
Outlets and escape routes
Stands with a floor area of more than 100 square meters, those with access to an escape route longer than 10 m or those designed so that the exit/exhaust route is not visible from any point of the stand must be provided with at least two separate exits/exhaust routes, located as far apart as possible.
The stand should be designed in such a way as to prevent the creation of hard-to-reach halls, corners or niches.
All separate rooms used by staff members (offices, recreation rooms, meeting rooms, etc.) within a particular area of the stand must have a view of the nearest escape route and the access route to it.
It is forbidden to set up rooms that can only be entered through a separate room (isolated rooms).
If the maximum length of the escape route to the pavilion aisle exceeds 10 m, the stand shall be provided with a secondary exit and/or a wide aisle of at least 2.0 m leading to one of the pavilion aisles.
The width of the escape routes and exits shall be a minimum of 1.00 m.
Use
The use on escape routes of swinging, revolving, access coded, sliding, vertically opening doors and any other types of barriers to access is prohibited.
4.7. Stand design
4.7.1. Conditions
- The stand project must contain a plan of the stand, furnished, with the indication of the intended use of the space (exhibition, office, warehouse, etc.).
- In the project, all the facades corresponding to the free and built sides, must have the corresponding height dimensions and the position of the graphic (company name, logo, etc.).
- The stand design will also contain a general axonometric perspective.
- The project will also include electrical and sanitary installation plans, specifying the type of electrical connection (single or three-phase and installed power), the position of the electrical panel, sockets and lighting fixtures, other consumers (machinery in operation), the position of the water supply and drainage connection.
- The lighting circuit location plan will comply without exception with the rules and regulations of the electrical installations in force; the obligation to switch off the stand lighting (daily at the end of the program) is the sole responsibility of the exhibitor.
- The technical memorandum of the project will include the description of the construction system, the materials and finishes used for the floor, walls and ceiling of the stand, as well as the designer's commitment to comply with the technical rules and provisions contained in the conditions of participation and in the general conditions of fairs and exhibitions organized in Romexpo.
- The project and the technical memorandum must be clearly signed by the designer of the documentation and endorsed by the exhibiting company.
- In the case of tiered stands or graphic support structures, the maximum height allowed is 5.00 m in halls A, C1-C6 and 7m for B1 and B2. Romexpo S.A. does not approve the project in terms of strength. Exhibitors are solely responsible for the stand construction.
- The required documentation is mandatory regardless of the stand arrangement, being necessary a presentation of the way in which the rented space is delimited as well as the respect of the free sides (exhibition) and the built sides (how to delimit, close the stand).
- The documentation will be drafted in A3 or A4 format and will be submitted to Romexpo for approval in JPG, pdf or Autocad 2005-2007 format.
- The exhibitor and/or the constructor shall be solely responsible for compliance with occupational health and safety legislation, including the full implementation of the instructions on labor protection, environmental protection and PSI for the exhibitor's or constructor's employees.
- Stand construction is allowed only if the stand project has been approved by Romexpo S.A.
- It is forbidden to build aerial constructions over the access and visitation corridors, as well as the placement of advertising graphics above these corridors, unless there is a favorable opinion from Romexpo S.A.
- The stand walls built on the free sides of the stand should have a commercial look or present a pleasing finish towards the aisles.
- Stand walls built on the closed sides of the stand should have a neutral finish on the back of the stand where possible.
- It is forbidden to display graphics on the back of the walls that are considered closed sides to the neighboring stands positioned on the same boundary between stands.
- Up to four loads limited to 500 kg each (winter scenario) or 800 kg each (summer scenario) in the case of the purlins and up to six loads limited to 800 kg each (winter scenario) or 1200 kg each (summer scenario) in the case of the lower sole of the farms may be applied in halls B1 and B2. Some exceptions may occur. It is forbidden to secure the structure of the stands by ceiling anchorage in halls A, C1-C6.
- It is not allowed to be fixed to the floor or anchored to structural elements of the pavilion.
- Perforation and damage to the outer platforms is not allowed.
- In the central pavilion (A), anchorage to the ceiling of the pavilion is allowed only if there is a project approved by a licensed structural engineer.
The design and equipment of stands, as well as any necessary construction work, are the responsibility of each exhibitor. However, it must take into account the character and appearance of the fair and/or exhibition in question. To this end, Romexpo S.A. has the right to request changes to the stand design. Romexpo S.A. also reserves the right to impose the framework structure required for a particular event.
The walls of the stands located near the aisles should have glass panels, friezes, displays, etc. to provide an attractive image.
When constructing the stand it is recommended to avoid creating barriers, so that the stand and the facilities offered are accessible to people with reduced mobility and can be used by them without additional assistance.
4.7.2. Checking stand dimensions
Romexpo S.A. measures the stand area at the pavilion floor level and marks its corners.
After the stand space has been allocated, each exhibitor has the obligation to check the location and dimensions of all installations, utility pipes, ventilation systems, etc. and to give appropriate instructions to the stand constructor when necessary.
The limits of the stand area must be respected.
4.7.3. Structural modifications to the pavilions
It is forbidden to damage, soil or modify in any way the components and technical installations of the pavilions (e.g. by drilling holes, using nails or screws, etc.). It is also forbidden to apply paints, wallpaper and adhesives.
It is forbidden to stress the technical components and installations of the pavilions due to the construction of the stands or exhibits that are not served by them. However, columns/conconsoles located inside the stand area may be integrated into the stand design provided that they are not damaged and the maximum stand height is not exceeded.
It is forbidden to damage the joints on the walls, ceiling and floor of the pavilions by cutting, laying foundations or similar works. It is forbidden to install bolts or anchoring elements to the stand structures.
Securing exhibits by means of floor anchors is allowed only in exceptional and justified cases, with the written consent of Romexpo S.A. Scale plans detailing the location, type of fastening, diameters of holes and number of anchors must be attached to the application. As few elements as possible should be used.
4.7.4. Floors of the pavilions
Carpets and other floor coverings must be laid in a safe place and must not exceed the stand surface.
Only non-marking adhesive tape may be used to fix these coverings. It is forbidden to use other adhesive materials or paints on the floor of the halls.
All materials used must be removed without leaving residues. Substances such as oil, grease, paints and the like must be removed from the floor immediately.
4.7.5. Suspension of articles from the ceiling of halls
Up to four loads limited to 500 kg each (winter scenario) or 800 kg each (summer scenario) in the case of the purlins and up to six loads limited to 800 kg each (winter scenario) or 1200 kg each (summer scenario) in the case of the lower sole of the farms may be applied in halls B1 and B2. Some exceptions may occur. It is forbidden to secure the structure of the stands by ceiling anchorage in halls A, C1-C6.
4.7.6. Perimeter walls of stands
Partition walls can be ordered via the order forms for exhibition services.
It is forbidden for exhibitors to modify partition walls and their supporting elements.
They are liable for all bodily injury and property damage caused by non-compliance with this rule.
4.7.7. Advertising materials/presentations
Inscriptions, logos and brand names displayed on stands and exhibits must not exceed the specified height. In the case of advertising material directly adjoining another stand, a clear distance of 2 m must be kept between it and the perimeter of the stand in question.
For any type of event or presentation, as well as any visual, mobile or acoustic advertising firm, the written consent of Romexpo S.A. is required. They must not disturb other participants in the event, must not cause crowding to prevent the aisles from being blocked and must not cover the amplifiers for communication with the public in the pavilion. The noise level at the perimeter of the stands must not exceed 70 dB(A).
Even if it has expressed its consent, Romexpo S.A. has the right to restrict or prohibit demonstrations that disturb the view, cause noise, dirt, dust, vibrations or other emissions or that, for any reason, significantly disturb the event and its participants.
It is forbidden to use advertising materials that are brightly lit, rotating or showing a rapid succession of images, as well as to move advertisements along the perimeter of the stand.
The distribution of printed material and the use of advertising material outside the booth is not allowed.
However, Romexpo S.A. reserves the right to impose additional restrictions in certain cases. Romexpo S.A. has the right to visit the stands in order to verify compliance with the above rules.
Also, Romexpo S.A. has the right to remove, cover or prevent in any other way the violation of the above rules on advertising, at the exhibitor's risk and expense.
4.8. Outdoor exhibition area
4.8.1. Checking stand dimensions
Romexpo S.A. measures the stand surface on the ground of the outdoor exhibition area and marks its corners.
After the stand space has been allocated, each exhibitor has the obligation to check the location and dimensions of all installations, especially utility pipes, foundations, foundations, manholes, distribution boxes, etc. and to give appropriate instructions to the stand constructor when necessary.
The limits of the stand area must be respected. The exhibitor must ensure that none of the items placed in the stand area exceeds the limits of the stand. Exceptions to this rule may be approved in the case of the use of rotating tower cranes by Romexpo S.A. for safety reasons; this approval is granted if all exhibitors concerned agree to the crane entering the stands. If an exhibitor refuses to give his consent, the refusal shall have no effect if safety regulations require the rotating tower crane to enter his stand.
4.8.2. Stand construction
All structures occupying floor space, as well as special constructions (e.g. advertising towers) to be erected in the indoor or outdoor exhibition area require the approval of Romexpo S.A. and must be registered with Romexpo S.A. through the appropriate service form in the section Order Forms for Exhibition Services. For any work for the installation of tent anchoring elements and cables, erection of masts and any other earthworks carried out in the outdoor exhibition area, clear overall plans must be submitted for the written approval of Romexpo S.A. It is forbidden to carry out any earthworks on the exhibition premises without written agreement to this effect. Romexpo S.A. must be notified prior to the commencement of any earthworks on the exhibition premises.
When carrying out any construction work on the stands, particular attention shall be paid to the existing supply pipes, foundations and distribution boxes, etc. If they are located inside the individual stands, they must be accessible at all times.
It is forbidden to build stand structures at distances of less than 0.5 m from the perimeter of neighboring stands, unless Romexpo S.A. has issued an exceptional written notice in this regard.
The blocking of the roads with structures and equipment is prohibited at all times, including during the setting up and dismantling of stands. Roads must remain clear over their entire width to allow access for firefighters.
4.8.3. Decommissioning
All exhibition areas must be returned to Romexpo S.A. in their original condition by the deadline for dismantling.
For this purpose, Romexpo S.A. must be notified of the space to be returned for stand inspection.
All installations such as foundations, supports embedded in the ground, supply pipes, etc. must be removed by the specified deadline for dismantling, unless otherwise agreed with Romexpo S.A. and the installations are at least 0.3 m below ground level. In this case, plans detailing the exact location and dimensions of the installations in question must be submitted to Romexpo S.A. without delay.
If all necessary repairs have not been carried out by the specified date, Romexpo S.A. has the right to carry out these repairs itself or to contract a third party for this purpose, at the expense of the exhibitor concerned.
4.8.4. Other provisions
Exhibitors whose stands border the edge of the land on which the exhibition center is located are not allowed to use the fence for their own purposes. The use of the outer part of the fence for advertising purposes is prohibited.
This also applies during the construction and dismantling of the stand.
Stand components, signs and flags must be mounted in such a way that they do not disturb other people, mainly other exhibitors and visitors. Wrong company signs must be removed if deemed necessary by the exhibition management.
Exhibits exceeding 30 meters in height must be registered at Romexpo S.A. for approval, through the appropriate form in the section of the order forms for exhibition services, at least 3 weeks before the beginning of the fair.
Rotating tower cranes and similar machinery must be properly secured in accordance with the relevant regulations. For safety reasons, the suspension of billboards and other loads (except flags) from cranes is prohibited.
The use of liquefied natural gas for heating is prohibited. Heating with heating oil is allowed only with the approval of the fire service.
In all other cases, the general regulations and those applicable to the pavilion area are also valid for the outdoor exhibition area, insofar as their application is significant.
4.9. Construction of two-tier stands
4.9.1. Approval of the planning application
Exhibition stands can be built on two levels only in pavilions A, C1, C3, C4, C5, C6, B1 and B2 and on condition of obtaining the prior approval of the fire service and Romexpo S.A. which is responsible for the project approval. The approval also takes into account the position within the pavilion and the space required measured at floor level. An essential factor in the approval process is the effect of the two-level stand on the design and transparency of the pavilion, as well as on the neighboring stands.
4.9.2. Height of the stand structure, conditions applicable to covered stand surfaces, height of the internal stand surface and minimum distances
The maximum stand height is set separately for each event and is stipulated in the conditions of participation and/or in the order forms for exhibition services.
The height of the interior areas of two-storey stands must be at least 2.40 m for both the lower and upper levels.
The distance between the stairs, open booths, terraces or dining areas and the edge of the aisles must be at least 1.00 m, and the distance between them and the perimeter of the neighboring stands must be at least 3.00 m. If the minimum distance from the neighboring stand cannot be maintained, a high form of protection of at least 2.00 m must be erected in the area to ensure privacy.
4.9.3. Workload/load parameters
In the case of stands with two levels inside halls, the working load of the floor of the upper level must comply with the following: if the upper level is used for organizing meetings and offering customer services, for example with tables and chairs arranged freely or with meeting booths, it must support a working load of 3.0 kN/mp. If the upper level is used permanently as an exhibition or sales area, its floor shall support a working load of 5,0 kN/sq.m. The use of the space shall be clearly indicated on the plans submitted for approval.
Ladders must always be able to withstand working loads of 5.0 kN/sq.m. Their handrails and posts shall be designed to withstand loads of 1 kN/ft2 at the current hand height. It shall be proved that the pressure applied by the supports does not exceed the maximum permissible pressure supported by the pavilion floor.
4.9.4. Escape routes/exits
Stands with two levels, the upper level of which covers a maximum area of 100 square meters, require a single staircase.
The stairs must lead outside the covered area of the stand. The length of the escape routes linking the upper level to one of the main corridors on the ground floor of the pavilion must not exceed 25 m.
The construction of spiral or helical staircases for this purpose is prohibited. The height of risers shall not exceed 0.19 m and the width of steps shall not be less than 0.26 m.
The internal dimension of the stairs shall be minimum 1 meter.
Stands whose upper level extends over an area of more than 100 square meters require at least two staircases at opposite ends of the stand. One of the two staircases must lead outside the covered area of the stand.
In the case of multi-level stands set up in the outdoor exhibition area, the main unit of each level must be served by two separate escape routes. Open-air exits must be located no more than 35 m from any point on the stand surface.
Each level should be provided with at least one open-air exit, designed in such a way that it can be used as an escape route without any risk (having its own staircase or leading to the outside staircase).
Storage of items and installation of shelving in areas above or below stairs without risers is prohibited.
The current hands must be adherent and uninterrupted.
4.9.5. Construction materials
The load-bearing components, the ceiling of the lower levels and the floor of the upper levels of two-level exhibition stands shall be made of fire-resistant materials.
Floor coverings, wainscoting and ceilings may be made of building materials permitted and commonly used in booth construction. No fastening materials may be used in pavilion floors.
Two-tier stands must be designed in such a way that they can be constructed, equipped and dismantled within the construction and dismantling period allocated for the event. The general construction rules must be respected. Also, in order to ensure safety and fire prevention, we reserve the right to impose additional requirements until the stand is approved.
4.9.6. Upper level
All rooms intended for use by staff (offices, recreation rooms, meeting rooms, etc.) must have a view of the nearest escape route and the route leading to it.
The underside of all handrails shall be skirted to a height of at least 0,05 m and with solid edging, grating or solid panels or similar protective elements to prevent falling. In order to avoid the placing on the handrail of various objects (e.g. glasses) which can easily fall over, the handrail top handrail shall have a suitable shape, e.g. circular or semicircular.
It is forbidden to cover the areas on the upper level with ceilings or closed roofing. The use of 1 cm x 1 cm mesh metal gratings is permitted. The open area of the upper level ceiling (including lighting units) must cover at least 70% of the floor area.
4.10. Stand dismantling
The exhibitor is obliged to remove all materials used in the construction of the stand, exhibits and other items by the end of the dismantling period set for the event in question, restoring the stand area to its original condition.
After the end of the period set for dismantling, Romexpo S.A. has the right, but not the obligation, to hire an authorized forwarding agent to pick up and store any items remaining on the perimeter of the stand at the exhibitor's expense and risk, charging an appropriate handling fee. Romexpo S.A. is also entitled to remove at the exhibitor's expense all materials used for the exhibition, as well as any other items left on the stand after the end of the period set for dismantling (e.g.: waste from stand construction/dismantling, leftover materials left after stand dismantling).
In case the waste from the construction and/or dismantling of the stand is not disposed of or is not entirely disposed of by the exhibitor and/or by the partner company that provided the stand construction/fitting, Romexpo S.A. will provide this service at the expense of the exhibitor and/or, as the case may be, of the construction company, at rates increased by 501TPTP3T compared to those specified in the order form.
II.4.11. Waste disposal
Exhibitors and their agents will avoid the generation of unnecessary waste both during the stand construction and set-up period and during stand dismantling. Exhibitors and their principals (contract partners/builders) undertake to make an efficient contribution to this during the entire period of the event (construction/dismantling/running of the event itself). This must be taken into account in particular for packaging materials, publicity materials, disposable equipment, carpeting, pallets, disposable tableware, etc.
Wherever possible, as a general principle, the use of recyclable and environmentally friendly materials for the construction and design of stands should be pursued.
Each exhibitor is responsible for complying with the legal provisions and properly disposing of its own waste.
At the end of the event, exhibitors are obliged to return the premises in good order, in the initial condition in which they received them, clean. This includes materials on the floor of the halls (e.g. adhesive tape etc.).
All cleaning work must be done with biodegradable products/preparations. The use in the cleaning activity of substances, preparations, compounds containing solvents that are harmful to health and the environment is prohibited.
The Exhibitor is obliged to ensure that all waste is disposed of properly and by its third parties (companies contracted for various services, such as stand construction/fitting and/or other partners of the Exhibitor).
The Exhibitor is obliged to ensure the disposal of hazardous waste within the Exhibition Center, in compliance with the legal provisions through authorized operators.
It is forbidden for exhibitors and their representatives to bring into the Romexpo Exhibition Center materials and waste that are not generated as a result of the stand set-up/construction and their dismantling.
It is forbidden to dump in the sanitary groups, in the sewerage network, in the drains of household garbage, dangerous chemical substances and preparations (e.g. waste oils, greases, solvents, hydrocarbons-fuels etc.), as well as any solid bodies or any other bodies that may affect the proper functioning of the sewerage network.
In the case of public catering establishments, they are obliged to install and use oil and grease separators. In the case of mobile food establishments, fats and oils must be collected and disposed of separately by the respective economic operator/exhibitor.
Participation in fairs and exhibitions organized within the Romexpo Exhibition Center is made on the basis of the General, Technical and Participation Conditions which will be submitted by the exhibitor before the beginning of the fair/exhibition in which he participates.
In order to become an exhibitor, applicants must use the participation forms and services available on the fair/exhibition website or provided by Romexpo S.A. representatives.
Exhibitors must comply with the specific conditions below.
III. 1. APPLICATION FOR THE RIGHT TO BECOME AN EXHIBITOR
All potential exhibitors wishing to participate in the event must express this wish by completing and signing the "Contract Adhesion" or the contract and submitting it to Romexpo S.A. before the deadline. By applying, exhibitors express to Romexpo S.A. their serious intention to participate in the event as exhibitors. All exhibits must be accurately described in the contract adhesion. Incomplete applications will not be considered.
Eligible exhibitors and exhibits
The Exhibitor will send the completed Contract Adhesion and Romexpo S.A. will send the location proposal together with the proforma invoice. In case Romexpo S.A. is unable to offer the requested space, it will offer alternative options. The area allocated by mutual agreement may differ from that requested, or participation may be refused by the organizer.
The Exhibitor accepts that these General, Technical and Participation Conditions are binding immediately upon submission of the application. Romexpo S.A. sends the exhibitor a written proposal regarding the location (stand offer). The exhibitor must accept this stand location proposal within the specified time period. The exhibitor's acceptance of the stand proposal constitutes his contractual offer; the offer cannot be withdrawn by the exhibitor once it has been received by Romexpo S.A. The notification of admission from Romexpo S.A. also constitutes acceptance of the contract.
Exhibitors who have not fulfilled their financial obligations towards Romexpo S.A., for example in relation to previous events or have violated the regulations regarding the use of the Romexpo Exhibition Center and the Conditions of Participation, may be rejected.
Romexpo S.A. has the right to withdraw from the contract or terminate the contractual relationship without notice if the admission was based on incorrect or incomplete statements of the exhibitor or if, subsequently, the exhibitor no longer meets the conditions for admission.
Only items that have been declared and admitted may be exhibited. Rented or leased items may not be exhibited. An exception is made for items which are not part of the exhibitor's product range but are necessary for the exhibitor's presentation (e.g. for demonstration purposes).
No co-exhibitors are admitted and no additional organizations may be represented unless expressly specified in the notification of admission.
Romexpo S.A. reserves the right to deviate from the type, size and location of the exhibition area desired by the exhibitor, not to admit certain exhibits and to impose conditions of admission. Reservations, conditions and special wishes of the exhibitor (e.g. with regard to location, exclusion of the design or construction of competing stands) can only be taken into account if expressly confirmed in the notification of admission.
III. 2. PRODUCTS EXHIBITED AT FAIRS AND EXHIBITIONS
Manufacturers, importers, exporters, dealers, representatives, traders are admitted as exhibitors who present services and products that fall within the theme of the fair/exhibition in which they participate. Exhibits must fall within the product groups described in the exhibition/fair theme.
Products and services (copies, counterfeits, etc.) that do not comply with the regulations for the protection of industrial and intellectual property rights valid in Romania will not be admitted as exhibits in the Romexpo Exhibition Center.
Obtaining the authorizations required by law for the products and services presented is the sole responsibility of the exhibitor. It is allowed to sell products/services in compliance with the legislation in force in Romania. The exhibitor is responsible for complying with the legislation.
III.3. CONTRACT
The contract comes into force when Romexpo S.A. has informed the exhibitor in writing that it has been admitted. This usually takes place when stand location planning is finalized. The allocation of other stands, in particular neighboring stands, may be changed up to the opening date of the trade fair. In addition, Romexpo S.A. has the right to move or close the entrances and exits of the exhibition halls and to make other structural changes. Exhibitors may not make any claims against Romexpo S.A. because of these changes.
Romexpo S.A. may also subsequently, i.e. after the entry into force of the contract, change the distribution of the space and in particular may change the location, type, dimensions and size of the exhibition area rented by the exhibitor, to the extent that this is necessary for reasons of safety, public order or to ensure more efficient use of the facilities and space necessary for the proper organization of the fair. However, such subsequent changes must be within reasonable limits which can be accepted by the exhibitor. If these subsequent changes result in a lower participation fee, the difference will be returned to the exhibitor. In this respect, further claims against Romexpo S.A. are excluded.
If exhibitors are unable to use their stand or are prevented from using their stand in its entirety because they have violated legal or official rules or the General, Technical and Participation Conditions, they are still obliged to pay the full participation fee and to indemnify Romexpo S.A. for all damages caused by themselves, their legal representatives or employees;
The exhibitor may not move, exchange or share the stand and may not cede it partially or totally to third parties as Romexpo S.A. does not admit co-exhibitors or additional represented companies without prior written consent of Romexpo S.A.
III. 4. CO-EXHIBITORS AND COMPANIES ADDITIONALLY REPRESENTED
A co-exhibitor is a person who displays his own goods or services, with the help of his own staff, on the stand of another exhibitor (the principal tenant). This definition includes group companies and subsidiaries. Agents and representatives of companies are not admitted as co-exhibitors.
In the case of exhibitors who produce their own goods, additionally represented companies are those companies which offer their goods or services through these exhibitors. If the exhibitor-distributor of a manufacturer exhibits both his own goods and the goods or services of other companies, these are additionally represented companies.
The approval of a particular exhibitor does not imply the conclusion by Romexpo S.A. of a contract with the co-exhibitors registered by it for participation or with the companies that it additionally represents.
Romexpo SA may authorize the participation of Co-exhibitors, provided that the surface area for one exhibitor (main exhibitor / co-exhibitor) is at least 12 square meters.
Co-exhibitors can participate only if they have received the approval of Romexpo S.A..
Participation as an additional represented company is allowed only if it is provided for in the special conditions of participation and if Romexpo S.A. has expressed its opinion in this respect.
Romexpo S.A. approves the participation of co-exhibitors and companies additionally represented only if they would have qualified for approval as exhibitors themselves. In addition, co-exhibitors and companies additionally represented must pay the appropriate participation fees as stipulated in the special conditions of participation. The fee for co-exhibitors and companies additionally represented must be paid by the respective exhibitor; Romexpo S.A. may also invoice this fee after the end of the fair.
It is the responsibility of the exhibitor to ensure that both co-exhibitors and the other companies they represent comply with the conditions of participation, technical guidelines and instructions of the management of the exhibition complex.
The exhibitor is liable for the debts and negligence of co-exhibitors and additionally represented companies as if personally at fault. If co-exhibitors directly use the services provided by Romexpo S.A.,
he has the right to invoice the exhibitor for the respective services. The exhibitor is jointly and severally liable.
III. 5. ADDITIONAL SERVICES
The exhibitor can benefit from additional services, based on the placement of a firm order according to the forms available on the websites of the events in question. The services provided by Romexpo S.A. are:

The supply of technical services (water, electricity, air conditioning, compressed air) can only be ordered by the organizer.
III. 6. TERMINATION OF THE CONTRACT
If the location, type, dimensions or surface area of the exhibition area rented by the exhibitor undergoes subsequent changes, so that the acceptance of the space is no longer a reasonable option for the exhibitor, the exhibitor has the right to terminate the rental contract within three days of receipt of the notification sent by Romexpo S.A. in this regard. In all other cases, the exhibitor does not have the right to terminate the contract, except for the rights conferred by law in this respect.
If the exhibitor notifies that he withdraws from a particular event, Romexpo S.A. has the right to dispose of the rented space for other purposes, regardless of whether or not the exhibitor in question has the right to terminate the contract. Exhibitors who cancel their participation are obliged to pay the participation fee to Romexpo S.A. if the space remains unoccupied during the event, but also if Romexpo S.A. manages to re-rent it. In addition to re-renting the stand space to another exhibitor, it may be used by Romexpo S.A., among other things and in the first place, to host a third party whose stand would have been located elsewhere, thus avoiding the impression of disruption of the stand arrangement, or it may be redesigned in such a way as to disguise the fact that it has remained unoccupied.
Romexpo S.A. has the right to terminate the contract if the exhibitor fails to fulfill its financial obligations towards Romexpo S.A. in time. Romexpo S.A. Romexpo S.A. also has the right to terminate the contract if the exhibitor neglects its contractual obligation to respect the rights, interests and objects of legal protection of Romexpo S.A., the latter being unable to comply with the provisions of the contract in a reasonable manner. In the above-mentioned cases, Romexpo S.A. has not only the right to terminate the contract, but also the right to demand payment by the exhibitor of the agreed participation fee as a lump-sum compensation. These provisions do not affect the right of Romexpo S.A. to claim additional compensation. The exhibitor may claim a reduction of the flat-rate compensation if he proves that Romexpo S.A. suffered less damage.
III. 7. PARTICIPATION FEES AND RIGHT OF SEQUESTRATION
The participation fees are calculated on the basis of the quotations specified in the Contract Adhesion or Contract. In making the calculations, each square meter or fraction of a square meter is taken into account, the floor area always being considered rectangular. Projections, supporting elements, utility connections and similar objects are not taken into account.
In general, exhibitors receive the invoice for the participation fee together with the pavilion plan.
The participation fee, the deposit corresponding to the value of the services and the co-exhibitors' approval fee shall be paid before occupying the exhibition area. If exhibitors have ordered certain services provided by Romexpo S.A., Romexpo S.A. has the right to refuse the provision of those services, including the supply of electricity, water, compressed air, etc. until the exhibitor's financial obligations to Romexpo S.A. have been settled. The Exhibitor is not entitled to demand interest on the advance paid for the provision of services.
This condition applies in particular in the case of bonds contracted at previous events. The terms and conditions of payment comply with the special conditions of participation. In accordance with the law, Romexpo S.A. reserves the right to exercise its right to seize the lessor's right to cover claims arising from the rental. Exhibitors have the obligation to inform Romexpo S.A. at any time of the owner of the articles exhibited or to be exhibited. If an exhibitor fails to fulfill its financial obligations, Romexpo S.A. may retain the exhibits and equipment of its stand for sale, at the exhibitor's expense, at public auction or private transaction. Romexpo S.A. assumes no liability in the event of damage to the exhibits and stand equipment retained under this clause, unless it is guilty of fraud or gross negligence.
III. 8. FORTA MAJORA
Force majeure, agreed as being that unforeseeable and unforeseeable event, occurring after the conclusion of the contract and which prevents the party or parties to fulfill their obligations under the contract, exempts from liability the party who invokes it under the law. The case of force majeure shall be communicated by the interested party within a maximum of 3 days from its occurrence and shall be confirmed by official documents authenticated by the Chamber of Commerce and Industry of Romania.
The evidentiary documents proving the existence of force majeure will be submitted to the other party within a maximum of 5 days from the date of the events.
The termination of the force majeure event will be immediately communicated to the interested party.
The Parties undertake to use their best endeavors to limit the effects of force majeure.
III. 9. LITIGATIONS
Any dispute arising out of or in connection with the concluded contract, including the conclusion, execution or termination thereof, shall be settled by arbitration of the Court of International Commercial Arbitration of the Chamber of Commerce and Industry of Romania, in accordance with the Rules of Arbitration Procedure of the Court of International Commercial Arbitration, in force, published in the Official Gazette of Romania no. 613 of 19.08.2014, Part I.
The Arbitral Tribunal shall consist of a sole arbitrator or 3 (three) arbitrators appointed in accordance with the Rules of Arbitration Procedure of the Arbitration Court.
The appointment of arbitrators shall be made by the parties to the dispute, in accordance with the Rules of Arbitration Procedure of the Court of Arbitration.
The arbitrators nominated by the parties shall appoint the supra-arbitrator, within the terms and under the conditions provided by the Rules of Arbitration Procedure of the Court of Arbitration.
The Chamber of Commerce and Industry of Romania and the Court of Arbitration shall not have the right, through the organization and administration of the arbitration, to intervene in the settlement of the dispute or to influence in any way the arbitral tribunal.
Romexpo S.A. reserves the right to modify/adapt these General, Technical and Participation Conditions and to inform customers through the Romexpo S.A. websites. By participating in the events organized in the Exhibition Center ROMEXPO SA, accessing or using the services of ROMEXPO SA, customers expressly accept the General, Technical and Participation Conditions.
By taking cognizance of these General, Technical and Participation Conditions, participants will be deemed to have acted accordingly and to have complied with the terms and conditions set out in the document.
Failure to comply with the conditions stipulated in the General, Technical and Participation Conditions may result in the termination of the contract and, where appropriate, eviction from the Exhibition Center, provided that Romexpo S.A. sends a notice to this effect.
FINAL PROVISIONS
Romexpo reserves the right to modify/adapt these General, Technical and Participation Conditions and to inform customers through the Romexpo S.A. websites. By participating in the events organized in the Exhibition Center ROMEXPO SA, accessing or using the services of ROMEXPO SA, customers expressly accept the General, Technical and Participation Conditions.By taking cognizance of these General, Technical and Participation Conditions, it will be considered that the participants will act accordingly and will comply with those specified in the document.Failure to comply with the conditions provided in the General, Technical and Participation Conditions may result in the termination of the contract or, as the case may be, the evacuation from the Exhibition Center, provided that Romexpo S.A. has sent a prior notice to this effect.
